This Refund & Cancellation Policy applies to tickets, workshops, classes (including Pilates), and event bookings purchased online through www.meadowsomerset.com (“the Site”).
It does not apply to purchases made in person at our café or any other physical location.

1. General Policy
By booking an event or workshop through our website, you agree to this Refund & Cancellation Policy.
We understand that plans can change, and we aim to be fair and transparent about cancellations and refunds.

2. Your Right to Cancel
Under UK consumer law, tickets and workshop bookings for a specific date or time are generally non-refundable once purchased, as they fall under the category of “leisure services for a specific date” (Consumer Contracts Regulations 2013, Regulation 28).
However, we may offer flexibility as follows for events/workshops (excludes Pilates Class Bookings. For Pilates please see section 9 below):
If you need to cancel your booking:
• More than 14 days before the event: You may request a full refund or transfer to another available date (subject to availability).
• Between 7 and 14 days before the event: A 50% refund may be offered, or you can transfer your booking to another date or attendee (if possible).
• Less than 7 days before the event: Refunds are not available, but you may transfer your ticket to another person if you notify us at least 48 hours before the event.

3. Event Cancellations or Changes by Us
If we need to cancel or postpone an event due to unforeseen circumstances (e.g. illness, weather, low attendance, or other operational reasons):
• We will contact you using the details provided at booking.
• You will be offered either:
• A full refund, or
• The option to transfer your booking to a new date or future event.
We will not be liable for any additional costs incurred by you (such as travel or accommodation expenses).

4. Digital Ticket Delivery
All event tickets and confirmations are issued digitally via email. Please ensure your contact details are correct at checkout.
If you do not receive your confirmation within 24 hours of purchase, please email info@meadowsomerset.com.

5. Refund Method
Refunds (where applicable) will be issued to the original payment method used at checkout via our payment processor Dojo.
Refunds are normally processed within 5–10 working days once approved.
We cannot process cash refunds for purchases made online.

6. Transfers and Substitutions
If you can no longer attend, you may transfer your ticket to another person at no extra cost, provided you notify us by email at least 48 hours before the event.
We will require the full name and contact details of the new attendee for health and safety or dietary purposes (if relevant).

7. Non-Attendance
If you fail to attend an event or workshop without prior notice, no refund or transfer will be issued.

8. In-Person Purchases
This refund policy applies only to bookings made online via our website.
Purchases or bookings made in person at our café or venue are subject to separate terms and are non-refundable unless stated otherwise at the time of purchase.

9. Pilates Class Bookings (Howe Movement at Meadow Somerset)
To help us keep Pilates classes small, calm and personal, and to ensure fairness for all participants, the following terms apply specifically to Pilates sessions:
Refunds:
Pilates sessions are non-refundable once booked, as spaces are limited and allocated in advance.
Rescheduling / Transfers:
You may move your booking to another available class if you notify us at least 24 hours before your scheduled session.
Requests made with less than 24 hours’ notice cannot be accommodated.
All changes or transfer requests must be made in writing directly to howepilates@gmail.com.
Non-Attendance:
If you do not attend your booked class (without providing at least 24 hours’ notice), your payment will be forfeited and the class cannot be transferred or credited.
Block Bookings:
Multi-session passes (e.g. 5-class passes) are non-refundable once purchased but may be used flexibly within the validity period stated at purchase. Each individual session must still be booked in advance.
Cancellations by Us:
In the unlikely event that a Pilates class is cancelled by Meadow Café or Howe Movement, you will be offered a choice of:
A transfer to another class date, or
A full refund for that specific session.
We believe this approach offers flexibility where possible while keeping our classes sustainable for both our instructor and our other clients.
